Effective from 9th May 2018
The General Data Protection Regulation (GDPR) replaces the Data Protection Act and comes into force from 25th May 2018. It’s a European wide law and as such affects how we use and store information we receive from guests and enquirers. This refers to all personal data from any source.
What information do we collect?
When you visit our website or make a reservation with us we will collect the following information;
- Full name of each Guest
- Full home address of the person making the booking
- Email address of the person making the booking
- Mobile number of the person making the booking
What we do with the information we gather?
We require this information to contact you regarding your booking and in particular for the following reasons;
- To communicate with you answering queries on your booking
- To confirm booking arrangements
- To thank you for your visit and ask for a review
We may use the review to help us improve our products and services.
We would only use your telephone number if we need to contact you urgently or if we cannot reach you by email.
Controlling your personal information
You may choose to restrict the collection or use of your personal information. So, for instance whenever you are asked to fill in a form on the website, look for the box that you can click to indicate that you do not want the information to be used by ourselves for direct marketing purposes.
By clicking the box it means you will not receive any information that is not directly related to your booking such as;
- Special offers
- Celebration cards
- New additions to our property
- Local festivals and events and
- General information we think you may find interesting
Please note we appreciate you do not want to be bombarded with information and we promise will not send you more than a maximum of 12 emails a year.
From time to time we may also use your email to contact you for market research purposes such as a short survey for our own purposes such as to improve our offer and services.
You have the option at any time to unsubscribe by simply checking the box at the bottom of any direct marketing notification.
Social Media Platforms
We use Facebook, Pinterest and Instagram to promote the rental of our property, offers and interesting news items. It would be your decision to follow us.
In all instances of us receiving any personal information from you, you can be assured that we will not pass your details onto any third party unless we are required by law to do so.
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect from you.
You should, however, note that our website contains links to other websites of interest. Once you have used these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and may wish to look at the privacy statement applicable to the website in question.
Access to your personal details
You have the right to request a copy of the information we hold about you. If you would like a copy please email us at email@example.com.
You also have the right to ask us to remove your details from our records which does not override the next point on French law.
Personal Information required by French law
All non-French nationals (aliens) must by law complete the Fiche Identite Individuelle form which you will be sent when you pay the balance. We have to legally keep this for 6 months after the date of arrival after which the form and its information are then destroyed. Only the local police can ask for the details on this form.
We are also required by French law to keep financial records for 7 years, so guests cannot be erased from these financial records until 7 years have elapsed from each particular booking.
If you book directly with us through our own booking form, you can be assured that your details are kept secure on our system via a password-controlled entry.
If you book via one of our Booking partners, for example, Holiday France Direct or Tripadvisor they also have to comply with GDPR regulations too and have their own safeguards and policies.
What happens if there is a Data Breach?
If a breach of data is likely to result in a risk to the rights and freedoms of individuals then the GDPR requires us to notify the Information Commissioner’s Office within 72 hours of first having become aware of the breach. We are also required to notify the lead Guest “without due delay” after first becoming aware of this breach.
